November 2023

Version 2311.2

  • A new Events setting, Maintain URL Parameters, enables URL parameters to be maintained throughout the session when a student navigates to the Appointment Scheduler through a link with parameters. For more information, see Appointment Scheduler Settings.

  • The Appointment Scheduler was updated as follows:
    • Meeting Links for upcoming Virtual Meetings are now clickable URLs to quickly open the meeting. For more information, see Understanding How Students Schedule Appointments and Interviews in the New UI.
    • The confirmation page includes your preferred time zone and phone number to view or replace information critical to your appointment.
    • When scheduling an appointment, the phone number you enter is validated to ensure it contains only numeric characters and matches the selected country’s standards.
    • My Account option lets you easily view your Phone and time zone information. For more information, see Understanding How Students Schedule Appointments and Interviews in the New UI.
    • The scheduling panel auto-opens when you use a link with URL parameters.
    • An indicator displays when an appointment is scheduled, canceled, or updated, providing you with a visual cue to confirm the process is running.
  • The Appointment Calendar was updated as follows:
    • The calendar displays past days with a strike-through to easily see availability.
    • The calendar displays availability and appointments based on your preferred time zone.
    • Upcoming Appointments with overlapping times display an orange time conflict label.

  • Appointment Scheduler supports using a custom field for appointment scheduling to funnel students to the correct staff person. For more information, see Configuring Appointment Scheduler Settings.
  • Contact matching will now run without sharing so TX Forms can match on records that aren’t shared with the user.
  • A new Custom Appointment Filter Choice field has been added to the Event Supplement Object. You can use this custom field to restrict appointment availability using a URL parameter, so you aren’t limited to which fields you can use to restrict options. For more information, see Limiting which events display to registrants using URL parameters. Visit the latest Upgrade Guides from the TargetX User Community to learn how to apply this new field.

  • A new field has been added so that Administrators can restrict registration for upcoming appointments. A new Global setting, Minimum Lead Time, is available in Appointment Scheduler Custom Settings to indicate the minimum amount of notice that is required before an appointment’s start time.   • Administrators now have the option to use TargetX Forms for Events or continue to use FormAssembly forms.
  • TargetX Forms for Events are a lightweight option for creating basic Event Registration forms. 
  • This feature is NOT a replacement for Form Assembly but rather a tool for basic configurations or a backup option if Form Assembly experiences downtime.

  • Events now uses Access Keys
    • In Events 6 - If a URL with a Contact Id and NO Access Key is entered, users can either 'continue as guest'  or opt to have an email sent to them with an updated link.
    • In Events 5, the system will either recognize the user or not. The user will not be prompted with additional options.
  • Events has been updated to accommodate new Site Guest User Org-Wide Defaults changes in Salesforce Winter ‘20. For additional information, see Recommended sharing settings for Default External Access (Organization-wide Defaults).

  • Travel Planner allows you to group Travel Events into a “Trip”. Users can view trip records, individually or in aggregate, by recruiter, by location or by date. Recruiters can view their planned or past trips; Directors or Deans can view all trips for a year, month, by location, etc. and easily identify who is where and for how long.

  • Added functionality that allows the event registrant to Pay Later (i.e. Pay Via Invoice) in addition to paying at the time of registration for an event. Pay Later (i.e. Pay Via Invoice) allows registrants to pay their event registration fees later and not at the time of event registration. Selecting this option allows them to receive an invoice for their costs so that the student can pay via check. Upon selecting this option, registrants are registered for the chosen event and any additional event options they may have selected. A notification appears at the top of the screen stating: ”Thank you for registering. An Invoice is being prepared and will be emailed to you.”
  • Added functionality that provides institutions and event organizers with the option to add Discount Codes to paid events. If an event has a registration fee associated with it, the institution or event organizer can provide a discount code/s to event registrants that, when entered during the event registration process, will automatically apply a specified discount to the event registration fee. 
  • Added functionality that provides institutions and event organizers with the ability to block users from registering for conflicting events and child events.
